Procedure for taking over of plot / Property on which construction activity is to commenced by the company
Purpose :
To document a procedure for taking over of plot / Property on which construction activity is to commenced by the company.
Objective :
To ensure all formalities associated with plot take over are completed before the pre-construction activities.
Scope :
This procedure is applicable to all properties where company intends to commerce construction activity.
Property Records and Maps.
Quality Records :
Report of Designated Engineer Associated Pre - Construction activities
Procedure:
1. The Senior Management shall be responsible for the following:
a) To get the property surveyed and well demarcated by the concerned authorities in the presence of seller’s representative as per property records and maps.
b) To arrange to put boundary wall or fencing around the property as soon as it is surveyed and demarcated.
c) To provide for watchman cabin at the entrance of the property and arrange to post security on the site to prevent any external encroachment on the property.
2. In order to accomplish the above,Senior Management may delegate the responsibility to an engineer from the division.
3. During plot / property taking over, the Designated representative shall prepare a report which may include photographs concerning the surroundings, e.g.,
i. Structures on and around the site
ii. Underground and exposed services
iii. Manholes and inspection chambers
iv. Open drains and slopes
v. Fencing and gates
4. The senior management shall obtain, confirmation from the legal adviser on the owner’s / seller’s clear title to the plot / property and ensure the title is free of encumbrance.
5. The senior management shall submit his report to the Directors ) as soon as above formalities are completed.
6. The final Payment to the plot owner is effected only on satisfactory completion of above formalities and with the authority of the Director.
